Customer Service
Customer service is very important at Plugged In: many of
our customers are intimidated by computers. Our job is to create a friendly
and helpful environment that encourages all community members to come
in and take advantage of the services we have to offer.
Things to do:
-
Helping customers is always first priority. More important than answering
the phone, or keeping the building clean, or anything else
-
Welcome everybody who walks into our building ("Hi. How are you?")
-
Ask people to sign in before they use a computer
-
Ask people if they need help getting started
-
Always give customers receipt for any sales transaction
-
Spend short chunks of time providing technical help when customers
need it
-
Walk through the building periodically to make sure:
-
That everyone is doing OK – that customers aren’t stuck and in
need of help
-
That there are no inappropriate uses of our computers: pornography,
violence…
-
Make sure people are using the appropriate computer for what they
need to do
-
Move people around when most computers are in use
-
Ask people to wrap-up work when there is a computer shortage and
-
They have been working for more than an hour, or
-
They are playing games, or
-
They are under 14
-
Make sure that all users under 14 are always accounted for:
-
Make sure nobody is disruptive:
-
Loud
-
Making offensive comments
-
Being rude to other customers
-
Using more than one computer
-
Body odor or other major problems: take them aside and address
the issue
-
Explain to customers what type of assistance we offer:
-
We can take a few minutes getting people started
-
We offer 30-minute one-on-one sessions for new members
-
We have many tutorial materials
-
We offer computer classes
-
We cannot offer private help sessions for free
-
Clean up the place periodically:
-
Keep everything clean and neat
-
Check the Things That Need To Happen list when you have spare time

-
We expect all staff to always be working to help customers or help
run the Access Center. Although it’s OK to quickly check your email
or do other minor non-work tasks, this should only happen when everything
is quiet. Non-work related tasks should never take more than 15 minutes
per work shift.
-
We expect staff to always be in the center. If you need to use the
bathroom or run next door, you should do so quickly and make sure
the building is safe and cash-register is locked before doing so.
If at all possible, get a staff or volunteer to cover for those few
minutes.
-
There is plenty of work to do. Keep yourself busy and productive at
all times: help customers, then keep things clean, then go through
the Things That Need to Happen List. If you don’t know what to do,
let your supervisor know immediately.
-
Always be friendly and professional with all customers. Rude behav
-
ior, racist behavior, unwelcome personal contact, flirting with minors
and related types of behavior will result in immediate dismissal.
-
Taking money from the cash register is cause for immediate dismissal
and will lead to a criminal complaint being filed. Taking money from
customers without offering a receipt is cause for dismissal.
-
Use by staff of our computers for inappropriate use, such as looking
up sexual materials on the Internet, will lead to immediate dismissal.
